Our guide to synchronising your Google Mail with a new Microsoft Outlook profile and Mac Mail.
Configuring Gmail settings on Outlook 2019 for MAC. Note: If this is the first time you are setting up email in your MAC, you’ll initially be prompted to select an email provider, be it Exchange, ICloud, Yahoo or GMail. You’ve now set up Google Apps Sync for Microsoft Outlook. Your email, contacts, calendar and tasks will now start syncing with Google Apps for Business.
When you switch to Google Apps you should embrace and use Gmail. It's better than Outlook and Mac Mail in our opinion and will improve your productivity. However, sometimes you just need the familiar feel of your native mail client and this tip details how to synchronise your mail.
Using Google Mail with Microsoft Outlook for Windows
In order to use Microsoft Outlook with your new Google Apps account, each user will need to download and install Google Apps Sync for Microsoft Outlook (GASMO).

Steps to setup a new profile in Outlook
- Close Microsoft Outlook
- Download and install Google Apps Sync for Microsoft Outlook from the link above.
- When asked, insert your Google Apps email address and password.
- When asked if you want to import anything – you don’t – leave the checkboxes alone.
- A new, empty Outlook profile will be created and your email will be synchronised for the first time.
- When you start Outlook in future your new profile will be the default (you’ll still be able to choose your old profile to access old mail if necessary).
- In your icon tray, look for a small Google Sync icon, right click on it and select Set mailbox size - click the radio button to select the size of sync (ie the amount of mail that is synchronised from your Google mailbox) 1GB (fastest); 2GB; 4GB or Unlimited (slowest).
Using Google Mail with Microsoft Outlook for Mac
Instructions for Outlook 2011 on OS X
- From the menu bar, click Outlook and go to Preferences.
- Click the Accounts button.
- Click the + button, and select E-mail...
- Enter the details for your account as follows:
- Email/Username: Your Google Apps email address
- Password: Your Google Apps password
- Type: IMAP
- IMAP Server: imap.gmail.com
- SSL Enabled, Port 993
- SMTP Server: smtp.gmail.com
- SSL Enabled, Port 587
- Ensure the Override default port and Use SSL to connect boxes are checked.
- Click Add Account.
- Select your newly added account from the list. In the right pane, select More Options... under the SMTP settings.
- Set the authentication option to Use Incoming Server Info. Click OK.
- Close the preference pane to begin using your email.
Using Google Mail with Mac Mail
- Open Apple mail and choose Mail from the menubar, then select Preferences
- Select the Accounts tab
- Press the + to add a new account
- Enter your details and click Set Up to see an Account Summary - your Account Type should be Gmail IMAP
- Press Create
- On the Apple Mail Preferences screen, change the following settings:

- Untick all except Junk (although this is a preference of ours and you can choose to leave as you see fit)

Note: These instructions are for Outlook 2016 (Windows) only. For other versions, there may be some variation, but the information below should serve as a guide to get you started. To identify the version of your software, look for the About link in the software's main or Help menu.

- Please uninstall any Office trial versions on your device before installing Office 365 Education.
- Follow the steps to enable IMAP access, turn on 2-step verification, and get an application-specific password.
Configure Google Mail for Email Software & Mobile Devices. - Connect to the Internet, then start Outlook 2016:
Note: If you are not connected to the Internet, you will still be able to configure your Apps at UMass Amherst Google Mail account on Outlook using these instructions. You will be unable to verify that the process has completed and synchronize your mail successfully until you go online.- New Users: If you are new to Outlook or are installing Outlook on a new computer (without migrating any local data from your old computer), the Automatic account configuration feature will start the first time you open Outlook 2016 and help you configure your Apps at UMass Amherst Google Mail account. When you start Outlook, a Welcome to Outlook 2016 window should appear. Click Next. You will then see a Microsoft Outlook Account Setup window asking you if you want to configure an email account. Yes should already be selected. Click Next. An Add Account window will open.
- If you have used Outlook for another email account and would like to add your UMass Amherst Google Mail account, you can access the Add Account window by going to File > Info and clicking the Add Account button under Account Information. The Add Account window will appear and Email Account should be selected. Proceed to Step 3 below.
- In the Add Account window, select the radio button next to Manual setup or additional server types and click Next.
- On the Choose Your Account Type screen, select POP or IMAP and click Next. The POP and IMAP Account Settings screen will appear.
- On the POP and IMAP Account Settings screen, enter your Apps at UMass Amherst Google Mail account information:
- In the Your Name: field, enter both your first and last name.
Note: This will appear in the From field of your outgoing messages. - In the Email Address: field, enter your Apps at UMass Amherst Google Mail address (e.g.,[email protected]).
- From the Account Type: drop-down menu, select IMAP.
- In the Incoming mail server: field, enter imap.googlemail.com
- In the Outgoing mail server (SMTP): field, enter smtp.googlemail.com.
- In the User Name: field, enter your IT Account NetID.
- In the Password field, enter the Application Specific Password generated by Google.
- Click More Settings. The Internet Email Settings window will appear.
- In the Your Name: field, enter both your first and last name.
- In the Internet Email Settings window:
- Select the Outgoing Server tab and check the box next to My outgoing server (SMTP) Requires Authentication and select the radio button next to Use same settings as my incoming mail server is selected.
- Select the Advanced tab, and under Server Port Numbers, below Incoming server (IMAP):, from the drop-down menu next to Use the following type of encrypted connection: select SSL. The number shown in the field above will automatically change from 143 to 993.
- Below Outgoing server (SMTP):, from the drop-down menu next to Use the following type of encrypted connection:, select TLS.
- In the field next to Outgoing server (SMTP):, change the number from 25 to 587.
- Click OK. You will return to the Add Account window. Click Next.
- Outlook will then test your account settings. This may take a few moments. When the Test Account Settings window indicates that all tests have completed successfully, click Close. You will then be directed back to the Add Account window. Note: If you unchecked the Remember password box on the POP and IMAP Account Settings screen, you may be prompted up to 3 times to re-enter your Application Specific Password generated by Google.
- On the Add Account window, select Finish. You will now see your Apps at UMass Amherst Google Mail address listed in the Inbox. You should see a test email from Microsoft Outlook in your inbox, confirming that your incoming mail settings are correct. To test your outgoing mail settings, use Outlook to send a message to your Google Mail address. The message should appear in your Outlook inbox.
